Who we are
calsmanager is operated by AgilXP AS, Badstuvegen 17, 2090 Hurdal, Norway (“we”, “us”). AgilXP AS is the controller of the personal data described here. Contact: geoffrey@agilxp.com.
What calsmanager does
calsmanager connects calendar accounts you choose (for example Google, Microsoft 365, iCloud or Infomaniak) and copies events between them according to rules you set, for example a “Busy” block in one calendar for every event in your other calendars.
What we store
- Your login: email address, a hashed password and, if you enable it, your two-factor authentication data.
- Connected accounts: the account’s email address or username, the server address and the credentials needed to access it (an OAuth refresh token, an app password or a calendar link). Credentials are encrypted at rest.
- Calendars and rules: calendar names, identifiers and colours, which calendars take part, and your rules, including any title words you choose to match.
- Sync history: when each rule ran, how many copies were created, updated or deleted, and error messages. These contain identifiers and counts, never event content.
- Audit log: account actions such as connecting or removing a calendar account.
- Server logs: IP address, time and requested page, kept for a short period for security and troubleshooting.
Event data
To sync, calsmanager reads the events in your connected calendars within a limited time window. Event content (titles, descriptions, locations, attendees) is processed in memory while a sync runs and is not stored in our database or logs.
calsmanager writes copies into the calendars your rules point to. By default a copy is a block titled “Busy” with no details; if you choose “Title only” or “Full details”, those details are written into the target calendar. Each copy carries a hidden marker so calsmanager can recognise, update and delete its own copies. It never changes or deletes events it did not create.
Google user data
calsmanager accesses Google Calendar data only to provide the sync you configure. calsmanager’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, do not sell it, and do not let humans read it except with your explicit consent, for security purposes, or where required by law.
Why we process your data (legal basis)
- To provide the service you asked for: performance of our agreement with you (GDPR Art. 6(1)(b)).
- To keep the service secure and working (server logs, audit log, error reports): our legitimate interest (GDPR Art. 6(1)(f)).
- To send you service emails, such as alerts that an account needs to be reconnected: performance of our agreement.
Where your data is processed
calsmanager runs on servers in Germany. We use a hosting provider in Germany and an email delivery service for service emails; they process data only on our behalf. When you connect a calendar account, calsmanager exchanges data with that provider (for example Google, Microsoft, Apple or Infomaniak) on your instruction; their own privacy policies apply to the data they hold.
How long we keep it
We keep your data while you use calsmanager. When you remove a connected account, its credentials and calendar list are deleted immediately, and Google access is revoked. When you close your calsmanager account, all your data is deleted. Sync history is kept for 30 days; server logs are deleted after a short period.
Your rights
Under the Norwegian Personal Data Act and the GDPR you have the right to access, correct and delete your personal data, to restrict or object to its processing, and to receive it in a portable format. Write to geoffrey@agilxp.com. You can also complain to the Norwegian Data Protection Authority (Datatilsynet).
Cookies
calsmanager uses only the cookies it needs to work: a session cookie that keeps you signed in and a security (CSRF) cookie. There are no analytics or advertising cookies.
Changes
We will update this page when our processing changes and change the date at the top. Significant changes will be announced by email.
